Disaster Planning for California Hospitals Speaker Information

Thank you for agreeing to speak at our upcoming Disaster Planning for California Hospitals conference. This web page provides general information about the event and specific information to help with your presentation and travel arrangements.

Speaker Agreement

Thank you for agreeing to speak at the California Hospital Association’s upcoming conference, Disaster Planning for California Hospitals, set for September 24-26 in Sacramento, California. CHA is honored to provide this vital and timely conference, and we appreciate your participation.

Please review the following terms of agreement:

  1. To the best of my ability, I will meet all program-related deadlines provided to me by the California Hospital Association (CHA), including, but not limited to, deadlines for presentation, handouts and A/V requests.
  2. During my presentation, I will not engage in any type of promotional marketing or selling of any product or service.
  3. I agree to notify CHA immediately in the event that an emergency should prevent me from meeting my obligation as a presenter.
  4. With prior discussion, I grant to CHA a royalty-free license to use, reproduce and distribute my presentation (including all handouts and PowerPoint presentations) in any way, with appropriate attribution to me.  I understand that this license does not change the fact that I retain copyright ownership of my presentation, and does not prohibit me from using my presentation in any way or from allowing others to use it.
  5. When instructed, I agree to use the PowerPoint and handout templates and logos provided to me by CHA for any PowerPoint presentation and/or handouts I may utilize in connection with the program, and I agree not to use these templates and logos in any way except in connection with this or other CHA programs.
  6. CHA reserves the right to review and adjust presentations. Principally, review is conducted to ensure accuracy in content and grammar and formatting is consistent throughout. CHA reserves the right to remove content that may be perceived as offensive or inappropriate.
  7. To the best of my knowledge, my presentation does not violate any proprietary or personal rights of others (including any copyright, trademark and privacy rights), is factually accurate, and contains nothing defamatory or otherwise unlawful.  I have the full authority to enter into this agreement and have obtained all necessary permissions or licenses from any individuals or organizations whose material is included or used in my presentation.    
  8. I authorize CHA to use my name, likeness, photograph, and biographical data in connection with the use and promotion of the program.

I understand that CHA is offering me a complimentary conference registration and one night of hotel accommodations at the Hyatt. All other expenses are not reimbursable. I understand that I will not receive any royalties, honoraria, or other compensation from CHA in connection with the program.

Please email your photo, CV/resume and short biography by June 22. The photo will be used in marketing and program materials, and the CV/resume and biography are needed for continuing education and conference introductions.

Conference Overview

Purpose of the Conference

This program is designed to provide hospitals with the information, tools and resources to prepare for an unprecedented man-made or natural catastrophe. It allows colleagues to connect at the largest gathering of hospital emergency preparedness coordinators in California. We’ll explore new approaches and solutions that evolve from real-life crises to build critical skills and strengthen preparedness and response.

Who Will Attend

We are expecting 700 hospital administrators, emergency preparedness coordinators, disaster planners, risk managers, physicians, nurse executives, emergency department managers, safety and security personnel, and other hospital professionals from throughout the state.

Conference Meeting Locations

The conference and exhibit show will be held at the Sacramento Convention Center, located just across the street from the host hotel, the Hyatt Regency Sacramento. The pre-conference workshop on Monday, September 24 and selected breakout sessions will be held at the Hyatt Regency.

CHA is pleased to offer you complimentary registration for all three days of the conference, including the pre-conference workshop.

Click here to register online. On the first page, select “Speaker” as the registration type to receive your complimentary conference registration.


Speakers are responsible for making their own hotel and transportation arrangements. We are pleased to offer you complimentary hotel accommodations as described in your speaker confirmation email. Hotel nights covered by CHA will be automatically removed from the speaker’s bill — there is no need to submit a form for reimbursement.

The deadline for presentations is July 20.

All speakers are required to prepare a PowerPoint presentation, which should be formatted using the widescreen 16:9 aspect ratio. Supplementary handouts are also welcome and will be posted along with your presentation slides (PDF file) to the Disaster Planning Conference mobile app for attendee viewing and downloading. CHA does not provide printed handouts for attendees unless there is a specific need to have copies available during the presentation. If you have concerns with this policy, or if your presentation and/or handouts require special considerations, call Robyn Thomason at (916) 552-7514.

As you prepare your presentation, keep in mind that conference attendees represent hospitals from all sizes and configurations (for example: large vs. small, for-profit and not-for-profit, rural and metropolitan, independent and system-integrated). Whenever possible, presentations should provide information that is applicable to all types of facilities.

On-Site Resources

A PC laptop, LCD projector, podium and podium microphone will automatically be provided. CHA will follow up with you to determine any additional needs you might have.

A member of the committee will be in each breakout room to introduce the speakers and assist with question-and-answer periods.
