VolunteerTalk: Payroll Deduction

On May 11, 2016, the CAHHS Volunteer Services Office received the following inquiry from Donna Oliveira, Volunteer at George L. Mee Memorial Hospital in King City, California:

We are currently reviewing our hospital gift shop payroll deduction policies and would appreciate your feedback. 

  1. Does your hospital gift shop have guidelines and/or policy and procedures for payroll deductions? If yes, would you please share them with me?
  2. Are you aware of any local/state/federal regulations regarding the hospital gift shop and payroll deductions payments?  If yes, would you please share them with me?
  3. Do you obtain a repayment agreement for each outside vendor or do you maintain a singular permanent repayment agreement on file for each employee? Would you share a sample of your repayment agreement with me?
  4. Do you share your payroll deduction names/amounts/repayment date instructions with your payroll department electronically or manually? If electronically, how is that accomplished?
