Meeting Coordinator

The Hospital Council of Northern and Central California is a nonprofit hospital and health system trade association representing more than 200 hospitals in 50 of California’s 58 Counties – from Kern County to the Oregon border.  Our membership ranges from small, rural hospitals to large, urban medical centers and represents more than 38,000 licensed beds.  The Hospital Council’s mission is to help our member hospitals provide high quality health care and to improve the health of the communities they serve. 

We are currently looking for an experienced meeting coordinator to assist with the coordination and execution of meetings and programs and to provide support services to the Manager of Meetings and Events.  Duties include meeting and program planning; prospecting event and meeting locations; on-site management of meeting and programs; serving as meeting and program registrar; monitoring revenue and expenses and maintaining accurate financial records; preparing correspondence; maintaining vendor mailing lists and coordinating department mailings; assisting with publication of the Hospital Council newsletter; contract and file maintenance; tracking and follow-up; report preparation; website maintenance; and general administrative support. 

The successful candidate will have at least 3 years of administrative support experience with at least two years prior event planning experience.  Additional requirements are excellent organization and customer service skills, ability to effectively manage multiple priorities and programs simultaneously, exceptional attention to detail, ability to meet strict deadlines, understanding of accounting fundamentals, ability to demonstrate initiative and good judgment, ability to communicate effectively orally and in writing, advanced knowledge of MS Office software applications and willingness to learn new software programs as required, and ability to work effectively as part of a team.  Must have excellent proofreading, editing and typing skills.  Must also possess a valid CA driver’s license and be able and willing to travel up to 30% of the time, including some overnight stays.
