Executive Assistant

Hospital Quality Institute is responsible for establishing a statewide strategy and vision for patient safety and quality improvement.

We are looking for an Executive Assistant to provide administrative support to the Chief Executive Officer (CEO). In addition, this position is responsible for performing a wide variety of duties related to the activities of the Hospital Quality Institute (HQI) and HQI Board of Directors. This position requires the ability to manage and prioritize multiple projects and handle frequent priority changes.This position also requires a high level of initiative, professionalism, discretion, judgment, and excellent interpersonal and communication skills. Responsibilities include producing timely, accurate, and complete correspondence, reports, agendas, minutes and other business documents in a professional manner; maintaining current and accurate rosters and mailing lists for the Board of Directors, responsible for meeting arrangements and preparing and disseminating agendas and other meeting materials; handling telephone calls for the CEO; coordinating the CEO’s calendar; process incoming mail; and making and confirming meeting and travel arrangements.

The successful candidate will be a college graduate or equivalent; have a minimum of five years of administrative support experience in a professional setting with at least three years as an executive-level assistant preferred, experience in a health care, legislative or association environment preferred; proficiency with Windows-based software including, but not limited to, Microsoft Outlook, Word, Excel and PowerPoint; ability to handle sensitive and confidential materials in a professional manner; ability to compose and/or proofread documents and reports; ability to  organize, plan, work on multiple projects, prioritize and meet deadlines all under pressure in a fast-paced environment; be extremely organized and detail-oriented; ability to follow directions and work effectively with minimal supervision; excellent written and verbal communication and interpersonal skills; must be a willing and effective team member; must have a customer-focused, pleasant and professional demeanor; and have the ability to travel overnight on an occasional basis.
