Administrative Assistant

The California Hospital Association (CHA) is the statewide leader representing the interests of hospitals and health systems in California. CHA includes nearly 400 hospital and health system members and provides members with state and federal representation and advocacy in the legislative and regulatory arenas through an agenda designed to improve access to quality, cost-effective health care services.

                   

We are looking for an experienced administrative assistant to provide clerical support and assistance to the president’s office, including the coordination and scheduling of the President’s travel. Duties include basic composition, word processing, proofreading, file maintenance, scheduling, coordination of meetings and travel arrangements, and receptionist duties. Emphasis is placed on flexibility, judgment, accuracy, and timeliness of work. This position requires a high level of initiative, professionalism, discretion, and the ability to manage and prioritize multiple projects and handle frequent priority changes. This position works in a team environment with the Assistant to the President and the Executive Assistant. This includes providing mutual back-up coverage and support as needed.

The successful candidate will have a minimum of three years administrative support experience in a professional setting directly handling executive-level scheduling and travel, preferably in a health care, legislative or association environment; proficiency with Windows-based software, including Microsoft Outlook, Word, and Excel; ability to handle sensitive and confidential materials in a professional manner; ability to compose and/or proofread documents and reports; ability to organize, plan, work on multiple projects, prioritize, and meet deadlines all under pressure in a fast-paced environment; be extremely organized and detail-oriented; ability to follow directions and work effectively with minimal supervision; excellent communication, both written and verbal, and interpersonal skills; have a customer-focused, pleasant, and professional demeanor; be a willing and effective team member; and be able to travel overnight on an occasional basis.
