Disaster Planning for California Hospitals Conference Speaker Information
October 15 – 17, 2012 — Sacramento, CA

Thank you for agreeing to speak at our upcoming conference. This web page provides general information about the event and specific information to help with your presentation and travel arrangements.


Purpose of the Conference

This program is designed to provide hospitals with the information, tools and resources to prepare for an unprecedented man-made or natural catastrophe. It allows colleagues to connect at the largest gathering of hospital emergency preparedness coordinators in California. We’ll explore new approaches and solutions that evolve from real-life crises to build critical skills and strengthen preparedness and response.

Who Will Attend

We are expecting 600 hospital administrators, emergency preparedness coordinators, disaster planners, risk managers, physicians, nurse executives, emergency department managers, safety and security personnel, and other hospital professionals from throughout the state.

In addition, 100 staff from our co-sponsors — the California Department of Public Health, CalEMA, and the Emergency Medical Services Authority — will attend along with staff from public health offices and other government agencies.

Conference Meeting Locations

The conference and the exhibit show will be held at the Sacramento Convention Center, located just across the street from the host hotel, the Hyatt Regency Sacramento. The pre-conference workshop on Monday, Oct. 15, will be held at the Hyatt Regency.

Speakers are responsible for making their own hotel and travel arrangements. CHA will automatically register you for the day(s) of the conference as outlined in your speaker letter. If you would like to attend additional days, please register using the conference registration form. 


The Hyatt Regency Sacramento is the host hotel for the conference. To book a room online click here or call (888) 421-1442. Be sure to mention the “Disaster Planning Conference” to receive the discounted room rate of $170/night. The discount deadline is September 17 however we encourage you to make your reservation as soon as possible as rooms may sell out before that date.

Located in the heart of downtown Sacramento and across the street from the Convention Center, the Hyatt is close to numerous dining options, shopping and parks.


Air Travel
The Sacramento International Airport (SMF)  is 12 miles from downtown Sacramento and the Hyatt.  Please arrange round-trip coach airfare at least 30 days prior to the conference. 

Ground Travel
Cab transportation from the airport takes approximately 20 minutes. CHA does not reimburse for rental car expenses.

The deadline for presentations is August 24.

All speakers are required to prepare a PowerPoint presentation. Supplementary handouts are also welcome and will be posted along with your presentation slides (via PDF file) on CHA’s website for attendees to download prior to the conference. CHA does not provide printed handouts for attendees unless there is a specific need to have copies available during the presentation. If you have concerns with this policy, or if your presentation and/or handouts require special considerations, call the primary contact noted in your speaker confirmation e-mail.

As you prepare your presentation, keep in mind that conference attendees represent hospitals from all sizes and configurations (for example: large vs. small, for-profit and not-for-profit, rural and metropolitan, independent and system-integrated). Whenever possible, presentations should provide information that is applicable to all types of facilities.

On-Site Resources

A PC laptop, LCD projector, podium and podium microphone will automatically be provided. CHA will follow up with you to determine any additional needs you might have.

A member of the committee will be in each presentation room to introduce the speakers and assist with question and answer periods.

A speaker break room will also be available at the Convention Center. It will include computer with internet access, printer and refreshments.

Important Dates

July 27 — Bio and photo deadline for conference marketing materials (please submit to the primary contact listed in your confirmation e-mail)

August 24 — Final PowerPoint presentation and any handouts due

September 17 — Discount deadline for hotel and air travel

October 15 — Business Continuity Pre-conference workshop

October 16 and 17 — Conference

November 15 — Deadline to submit expense claim form and receipts to CHA for reimbursement. We would appreciate receiving these documents as soon as possible after the conference.  CHA cannot reimburse for expenses submitted after November 15.
